A company profile for a tender is a short, structured document, usually a PDF, that summarises who your company is, what it is licensed to do, what it can deliver and where, supported by the projects, people, equipment and certificates you choose to show. It sits alongside the buyer’s own forms and attachments; it doesn’t replace them.

How the profile is used in each process

Tenders

In a tender, the profile usually forms part of the technical submission for one contract. It gives evaluators context about your company before they read your technical proposal and commercial offer.

Prequalification

Clients, consultants and main contractors often shortlist suppliers before inviting bids. Prequalification forms often cover licence details, experience, organisation, manpower, equipment, HSE, quality and financial standing, and a well-ordered profile answers much of that in one place.

Vendor registration

Many buyers keep a supplier list and ask companies to register through a form or an online portal. A company profile is commonly submitted alongside your trade licence and certificates, and it may be read long after you submit it, whenever a new requirement comes up.

What evaluators typically look for

Every buyer sets its own criteria, but many reviewers check the same things, roughly in this order:

  1. Identity: trade licence details and licensed activities
  2. Relevant scope: services that match what they’re buying
  3. Experience: comparable contracts or projects
  4. Capacity: manpower, supervision and equipment
  5. Coverage: where you can deliver
  6. Systems: HSE, quality procedures and the certificates you hold
  7. Contact: an authorised contact person and how to reach them

How we structure a profile for reviewers

  • A page order that follows that checklist, so a reviewer can find each item without searching.
  • Clear headings and short sections instead of long paragraphs, with key facts in tables where that reads faster.
  • Matching English and Arabic versions (Essential and above), with the same page order, so bilingual evaluation teams can cross-check easily.
  • Figures as you give them to us. Headcounts, equipment lists and project details come from your records, and the profile is built only on the information you confirm.
  • Pointers to your attachments, for example “Trade licence: see attached”, so the profile and your documents work together.

What to attach separately

The profile summarises; your documents provide the evidence. Unless the buyer asks otherwise, keep these as separate files:

  • A copy of your trade licence
  • The certificates you hold (for example ISO 9001, if you have it)
  • Insurance certificates
  • Financial statements, if requested
  • Forms, declarations or letters the buyer supplies for signature
  • CVs of key staff, if requested

These documents come from you. The profile tells the reviewer where to find them.

The submission is the full package the buyer asks for: their forms, your technical proposal, your commercial offer, declarations and attachments. The company profile is one document within it, or one file submitted on a vendor portal, that introduces your company. We write and design the profile; the rest of the submission stays with your team.

Usually, yes. A vendor registration profile is read as a general introduction, often kept on file for future needs, so it presents your full range of services. A tender profile concentrates on the scope of one contract. Premium can tailor the wording to either.
